A fixed five-line format for a weekly update to a seller, built only from counts and dates you can check in your own records, with what to leave out.
We suggest sending sellers an update on a schedule, even in a quiet week. In our view a short update in the same shape every week is simpler to write and to read than a long one that changes each time.
This is a format suggestion. We have not measured how sellers respond to it.
The five lines
Write the same five lines each week:
- Inquiries this week: a number, and how many came from each source you track.
- Showings held this week: a number, and how many are booked for next week.
- What we changed: one line from your change log, with the date, or "nothing changed".
- What we heard: one or two comments visitors made, summarized in plain words, with no names.
- What we plan next: one action and the date you will do it.
Use only what you can check
Every number should come from your inquiry log or your calendar. If you do not have a figure, write "not tracked" rather than estimating. We would rather show a gap than an estimate that may turn out wrong.
Keep comparisons to your own listing
Compare this week with last week on the same listing. Avoid comparing to other homes unless you have a source you could show the seller on request.
Leave out predictions
Do not promise an offer date or a price outcome. If the seller asks what you expect, say what you will watch for and when you will review it together.
Send it at the same time
Pick a day and send it then, including weeks with little to report. We suggest this because a regular update gives you a written record of what you told the seller.
Keep a copy
Save each update with the listing file. When the listing sells or is withdrawn, the updates are a plain timeline you can review.
